Star Trek: Freedom is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights regarding your personal data.

What Information We Collect

Public Information (Visible on Site)

  • Display Name / Masked Name: We display your chosen public name or a masked version (e.g., "First L." or "First (username)") on public roster pages
  • Character Information: Character name, rank, position, ship assignment, species
  • Public Posts: Mission posts, personal logs, quotes, and other content you choose to make public
  • Game Activity: Ship assignments, ranks, awards, and other in-character information

Private Information (Not Publicly Displayed)

  • Email Address: Used for account management, password resets, and game communications
  • Real Name: If provided, used only for administrative purposes and not displayed publicly
  • IP Addresses: Logged for security, abuse prevention, and technical troubleshooting
  • Account Logs: Login attempts, password changes, and administrative actions
  • Administrative Notes: Internal notes about accounts, moderation actions, and support requests

How We Use Your Information

  • Account Management: To create and maintain your account, verify your identity, and provide access to member-only areas
  • Game Operations: To assign characters to ships, manage rosters, and facilitate gameplay
  • Communication: To send game-related emails, notifications, and administrative messages
  • Security: To prevent abuse, detect fraud, and protect the site and community
  • Analytics: To understand site usage, improve functionality, and enhance user experience. We use Google Analytics and Microsoft Clarity for this purpose (see Cookie Policy for details and opt-out options)

Member Name Privacy

Public Display Names: Members can choose a public display name that appears on rosters and public pages. Real names are optional and are not required for account creation.

Name Masking: On public roster pages, we mask real names by default, displaying them as "First L." (first name + last initial) or "First (username)" format. This protects privacy while maintaining transparency about character ownership.

Your Control: You control what information is public through your account settings. You can choose to use a display name, username, or other identifier for public visibility.

Member-Only Areas: Full names may be visible to logged-in members in member-only sections, but are not indexed by search engines or displayed to the general public.

Data Retention

  • Account Data: Retained while your account is active. Deleted upon account deletion request (see Data Requests)
  • Logs: Server logs and access logs retained for 30-90 days for security and troubleshooting purposes
  • Backups: Database backups rotate on a regular schedule. Older backups are deleted according to our retention policy
  • Public Content: Mission posts, logs, and other public content may be retained in archives even after account deletion, as they are part of the collaborative game history

Search Engine Indexing

Public Pages: Public pages (home, about, fleet information) may be indexed by search engines. Roster pages with masked names use "noindex" headers to discourage indexing of member information.

Member-Only Pages: Member-only areas are not intended to be indexed by search engines. We use cache-control headers (no-store, no-cache) and robots meta tags to prevent indexing.

Removal from Search Engines: If you find your information indexed and wish to have it removed, contact us at technical support. We can request removal from search engines, though we cannot guarantee immediate removal.

Your Rights

You have the right to:

  • Access: Request a copy of your personal data
  • Correction: Update or correct inaccurate information
  • Deletion: Request deletion of your account and associated personal information
  • Opt-Out: Opt out of non-essential communications and analytics
  • Data Portability: Request your data in a portable format

Data Removal Process

Requesting Removal: Email us at technical support with your username and the specific information you want removed or anonymized.

Processing Time: We will process removal requests within 14-30 days of receipt. You will receive confirmation when the request is completed.

What Can Be Removed: We can remove or anonymize your account data, personal information, and private content. Public game content (mission posts, logs) that is part of collaborative storytelling may be retained in archives but can be anonymized.

Account Deletion: Complete account deletion removes all personal information, but public game content may remain in archives with your name anonymized.
